PROGRAM ADMINISTRATOR: HOPE CENTER
The Better Basics HOPE 21st Century Community Learning Centers in Fairfield are models of after-school excellence that serve students in grades K-8. Our four sites are safe-havens that allow children to explore their interests, express themselves artistically, receive the extra academic support they need and have daily healthy snacks and exercise. We are looking for a self-motivated individual with excellent organizational skills who has a passion for educating young children and serving our community. This individual will be responsible for managing reporting for government grants as well as planning and directing all activities at the sites.
This position is full-time (30 hours per week) and eligible for benefits. Salary range is $23,660 annually.

POSITION SUMMARY (functions and objectives):
- Plans, directs, and oversees implementation of all activities at the 21st Century HOPE CLC.
- Collects data, maintains files, evaluates progress and prepares reports concerning activities at the 21st Century HOPE CLC in accordance with grant requirements.
- Directs activities of Program Coordinator/Teacher
- Provides essential input for grants and other funding sources
ESSENTIAL PERFORMANCE SKILLS, DUTIES AND RESPONSIBILITIES:
- Initiates and helps conduct recruiting and hiring processes for HOPE Center personnel.
- Creates and implements timeline for all HOPE Center activities.
- Supervises Program Coordinator/Teacher
- Ensures effective use of resources when implementing the 21st Century grant through strategic planning and consultation with Better Basics staff.
- Troubleshoots and evaluates the program regularly.
- Compiles and maintains information for grant reporting including attendance records, demographic information, student surveys, program descriptions, etc.
- Maintains accurate student records (registration, medical information, release forms, injury reports, discipline records, awards, surveys, examples of student work, parent/teacher correspondence).
- Corresponds by phone and email with potential vendors to coordinate programs and fieldtrips.
- Maintains master schedule and site schedules for vendor activities, coordinates vendor rescheduling and provides to all personnel.
- Orders supplies/services and confirms receipt.
- Manages inventory and completes annual reporting regarding same
- Acquires needed forms from potential vendors and clients; obtains approval from Finance Director and submits documentation to Finance Department.
- Creates and/or updates student forms for registration, medical release, permission for fieldtrips, behavior management, photo release, etc.
- Monitors Program Coordinator/Teacher’s submission of student payments and assists with reconciliation as needed.
- Ensures completion of CNP paperwork and audits documentation monthly to check for error (if applicable)
- Prepares flyers and other communication pieces.
- Provides Development & PR Director with stories for public release and grants
- Serves as backup to Program Coordinator/Teacher to ensure employee timesheets and all payroll materials are submitted to HR Department per payroll schedule.
- Attends, as requested, meetings and workshops at the national, state, and local levels
- Assists other staff members as needed.
- Follows Office Procedures
- Follows the four-step discipline process to be used when correcting performance problems and inappropriate work behaviors for those employees under her supervision.
ESSENTIAL TECHNICAL SKILLS, QUALIFICATIONS, EDUCATION/EXPERIENCE:
- College degree required. Education degree preferred.
- Previous administrative experience preferred.
- Excellent financial management skills.
- Excellent organizational and communication skills.
- Willing to acquire knowledge of federal and state regulations governing 21st Century Community Learning Centers.
- Proficient in MS Word, Excel, Power Point, and Outlook.
- Neat, professional appearance and disposition with volunteers and staff
- Current driver’s license, personal transportation, and ability to drive on the interstate.
- Approved background check.
PHYSICAL DEMANDS:
- Ability to transport up to 30 lbs.

- Better Basics office in Birmingham and 21st Century HOPE CLC sites in Fairfield.

Must be able to diagnose and correct routine maintenance needs in apartments, including work order requests. The position requires the ability to perform a variety of semi-skilled structural, plumbing, and electrical building maintenance work at the Authority properties.
The person selected for this position must have the ability to read and write in English plus two years of building or apartment maintenance experience or an equivalent combination of training and experience.
